Customer Registration User Guide

This is a Customer Registration User Guide for Alchemy Marketing SMS Platform. The purpose of this user guide is to help potential customer Register for a service on the SMS platform.

The following document is a step by step process that ensures that the user successfully registers as a customer for an Alchemy Marketing SMS product. This user guide is solely for the use of Alchemy Marketing customers and staff for the purpose of training and reference.

STEP 1

Click on Register at the top right corner of the screen and the page below will load. The page will collect all personal details necessary for your registration for onward forwarding to Alchemy Marketing administrative authorities. The entries are also highlighted with the information to be input to ensure easier entry.

The first entry is for First Name which should be one name with no spaces. This is a required field that should hold the name of the person designated to be in charge of this company account. The second entry is for Middle Name which is not a required field and can be left empty if not applicable. The third entry is for Last Name. This is also a required field. All required fields are denoted by the red star next to the entry field.

STEP 2

This step prompts the user to enter the company name under which the account is being registered. This entry recognizes names with spaces in between.


STEP 3

This step prompts the user to enter a seven-digit telephone number. The number should not have any spaces or characters other than numeric ones.

STEP 4

This step prompts for a username entry which MUST be an email address.


STEP 5

This final step requires the user to choose a password for the account and re-enter the password to ensure no mistakes are made. Then the user is required to read the Terms and Conditions of registration, agreeing to them by clicking on the tick box on the left and submit the application by clicking the green SUBMIT button.

Contact Management User Guide

This is a Contact Management User Guide for Alchemy Marketing SMS Platform. The purpose of this user guide is to help potential customers manage their contacts, by adding, editing and deleting contacts where necessary for the use of services subscribed to on the Alchemy SMS platform.

The following document is a step by step process that ensures that the user is able to effectively manage their contact list as a customer of the Alchemy Marketing SMS platform. This user guide is solely for the use of Alchemy Marketing customers and staff for the purpose of training and reference.

STEP 1

LANDING PAGE

The Manage Contacts landing page shows two different ways that contacts can be added by a customer. The first being creating contacts on a one by one basis. The second being a batch upload contacts which only allows for the .csv file format to be used.

The page also has a snapshot of the plan the customer is subscribed to as well as the contact details and messages

allocated and used. This gives the customer to quick account update each step of the process.

STEP 2

CREATING A CONTACT

To create an individual contact, enter contact name in the following format

FIRST NAME SURNAME


With a space between the first and surname.

Contact number should be entered as a seven-digit number with no spaces or characters between the digits.

Contact Email will be entered as a complete email address.

STEP 3

BATCH UPLOAD OF CONTACTS

Contacts can be uploaded in a batch if numerous, by using the Batch Upload functions. The contacts will have to be saved in the .csv file format to be uploaded successfully. The view a

template of the format, click on template as shown below to download and view an example of the .csv file format.

DOWNLOAD

Then choose the file to upload from the specified folder and click UPLOAD. Once uploaded successfully, a message will appear showing successful upload. If unsuccessful, the screen will reappear to allow another attempt at uploading.

STEP 4

UPDATING A CONTACT

Once contacts are uploaded or entered in the system, they reflect directly on the Contact Page. These contacts can be edited, updated or deleted when necessary. To update a contact, click the green Update button.

This will pop up the contact details with all the field entries. To update, change relevant fields and click update.

STEP 5

DELETING A CONTACT

To delete a contact, click on the RED delete button next to the contact to be deleted and confirm deletion by clicking YES at the prompt.

CONTACTS CAN ONLY BE DELETED INDIVIDUALLY AND NOT IN BATCHES, EVEN IF

UPLOADED AS SUCH!!!

Group Management User Guide

This is a Group Management User Guide for Alchemy Marketing SMS Platform. The purpose of this user guide is to help potential customers manage their groups of contacts, by adding, editing and deleting groups where necessary for the use of services subscribed to on the Alchemy SMS platform.

The following document is a step by step process that ensures that the user is able to effectively manage their group of contacts list as a customer of the Alchemy Marketing SMS platform. This user guide is solely for the use of Alchemy Marketing customers and staff for the purpose of training and reference.

STEP 1

LANDING PAGE

This is the main landing page for managing Groups and where groups will be listed after being created. What is a group and why would you create one? A group is a list of contacts grouped together under one banner. The reason for this can be many but the most prominent being a need to send one type of message, unchanged, to different individuals. For a more efficient and effective system, groups are used in this case. This will save a lot of time in the repetitive data entry as well as reduce a lot of errors in the process.

STEP 2

CREATE GROUP

To create a group, click on Create New Group and a new window will pop up. Enter the name of the group and a short description of the group’s purpose.


STEP 3

Once groups are created, they will be listed in the main page. A group can be UPDATED,

DELETED OR CONTACTS ADDED TO IT.

UPDATING A GROUP

The Group fields of name and description can be updated by clicking the update field and changing the fields as need.

ADDING CONTACTS TO A GROUP

The purpose of a group is to ease message sending to a number of contacts. Thus, a group must have multiple contacts for it to be used effectively. To add a group to a contact, Click on View Details on the group you wish to add contacts to.


This will bring up the window for adding Contacts to a group. Click on Add Contacts to

Group.

This will pop up a list of contacts to add to the group. Choose the contacts you wish to add to the group by ticking the box on the left next to the contact and click Add.


NOTE!!!

To update details of contacts already allocated to a group, refer to the contact user guide on how to update contact details.

STEP 6

DELETING CONTACTS FROM A GROUP

Contacts can be added and deleted from a group as and when needed, as a group’s purpose can change. To delete a contact from a group, click on View Details.

VIEW DETAILS

This will show the list of contacts associated with this group. To remove contacts associated with this group, click on the Remove button next to the contact and confirm by choosing YES to remove contact.


NOTE!!!

Removing a contact from a group does not remove that contact from the contact list itself. It only disassociates that contact with the corresponding group.

STEP 7


DELETING A GROUP

To delete a group, go to the Group list and click the Delete button corresponding to the group to be deleted.

Template Management User Guide

This is a Template Management User Guide for Alchemy Marketing SMS Platform. The purpose of this user guide is to help potential customers create templates for messages to ensure an efficient and effective use of the services subscribed to on the Alchemy SMS platform.

The following document is a step by step process that ensures that the user is able to effectively manage the type of messages sent to their contact lists as a customer of the Alchemy Marketing SMS platform. This user guide is solely for the use of Alchemy Marketing customers and staff for the purpose of training and reference.

STEP 1

LANDING PAGE

Templates are used to create messages to be stored for later use. They are created and stored in the templates section and when needed will be brought out in the messages section for onward forwarding to recipients.

STEP 2

CREATE NEW TEMPLATE

To create a new template, the template should be given a name, and then the template must have a message body. This body will entail the details of the message that will be eventually sent to recipients. The name must also depict a description that is in line with the template so that when the user is to use the template, the name can be related to the body of the message.


STEP 3

UPDATING A TEMPLATE

A template is updated by clicking the update button next to the template to be updated.

Message Management User Guide

This is a Message Management User Guide for Alchemy Marketing SMS Platform. The purpose of this user guide is to help potential customers manage their messages for services subscribed to on the Alchemy SMS platform.

The following document is a step by step process that ensures that the user is able to effectively manage message as a customer of the Alchemy Marketing SMS platform. This user guide is solely for the use of Alchemy Marketing customers and staff for the purpose of training and reference.

STEP 1

SUCCESSFUL REGISTRATION

Upon registration, the user will receive an email such as the one below noting that the registration has been received by the administrative authorities and is being processed. It can take 2 to 3 business days for a registration to be processed.

LOGGING IN

The log in window prompts the user to enter their username and password created at the time of registration. This will be the email address and the password that was input at the time of registration.

STEP 4

DASHBOARD

This is the landing page for customers once they sign in. It’s a snapshot of the customer’s personal details coupled with the type of subscriptions and the balance of messages left. It also shows the inbox and outbox for messages received and sent out by the customer.


STEP 5

CREATING A MESSAGE

A message can be sent to recipients in three different message types. As

• An Empty Message

• A message from Template

• A merged message

In an empty message, the customer can create a 160 character message to send to contacts of their choice. The message is created from scratch.

A message from a template is a message previously created and stored by the customer as a template and imported into the message and sent in totality or slightly edited and then sent.

A merged message is a personalized message that provides specific names, mobile numbers and email addresses. This type of message can be sent to individuals as well as groups.

MESSAGE TYPE

Messages can be sent to three different types of recipients.

• Phone Numbers

• Contacts

• Groups

A message can be sent to one or multiple phones numbers separated by commas.


A message can also be sent to multiple contacts by selecting all contacts in the user’s contact list or specific contacts through the tick box.


A message can also be sent to one or more groups.

MESSAGE BODY

The body of the message has a maximum character length of 160 characters. Once message entry starts, the counter counts down to the number of characters left in the message.
